Accounting Services (Fiscal)
Typical Services include:
- Financial Statement Preparation (Balance Sheet, Income Statement & Budget Variance Report)
- Mailing and monitoring of all maintenance fees/assessments
- Accounts Receivable Control
- Accounts Payable Control (includes common area expenses)
- Coordinate and assist Annual Auditor/Tax Preparation
- Maintain Federally Insured Bank Accounts
- Procure and maintain Master Insurance Policies for Association
- Budget Preparation/Reserve Study (Assist Board)
- Process & maintain all Payroll Records (including Taxes, Insurance, Benefits, etc.)-If Applicable
- Maintain Association files and records & allow access to owners of record upon request.
Operational Management Services (Physical and Fiscal)
Typical Services Include:
- All services listed above in Section 1 (Accounting)
- Liaison with Board of Directors/Owners/Contractors/Personnel
- Prepare meeting Notices, Agendas, and Proxies
- Attend regular Board Meetings and Annual Owners Meeting
- Hire Professional Recorder for minute taking of meetings
- Solicit Contractors for maintenance and repairs & monitor quality/costs.
- Supervise all Association Staff/Contractors/Employees
- Procure supplies/services to maintain common areas
- Conduct on-site property inspections as needed
- Enforce House Rules, By-Laws and C.C. & R.’s.
- Provide guidance for all Board Members/Owners regarding HRS 421J:
Typical schedule/listing of goals, objectives and possible management options.
Conduct a complete physical on-site inspection of grounds, structures, landscaping and amenities.
- Determine immediate needs (short-term)
- Determine long-range needs (Reserve Study)
- Present findings to Board
- Solicit proposals from professionals to analyze and budget costs (if necessary).
Perform a complete financial audit to determine.
- Historical costs and analyze past performances of prior Managing Agent, Resident Manager, Contractors, Personnel, etc.
- Confirm current operating expenses and determine possible cost-saving options.
- Present findings to Board for consideration.
- Create new budget, if necessary.
Create a "Strategic Plan" with specific goals and objectives. For example:
- Consult with an arborist to determine landscaping options.
- Counsel current personnel/contractors to determine short-comings and strengths
- Replace personnel/contractors unable to provide the level of required service.
- Re-organize new personnel via:
- Employment Agreement
- Specific Duties and Responsibilities
- Work Schedule/Hours
- Performance Evaluations
The Board should conduct its own independent walk-abouts and on-site investigations to determine areas of continuing need once per month & coordinate with Managing Agent regarding priority and budgeting for future repairs/maintenance.
Schedule Board meeting to continue organizing:
- Committees: (i.e., Landscaping, Budgeting, Contractor Evaluation, House-Rule
Revision, etc.)
- Use Agenda to allow Association and Managing Agent to implement Financial,
Physical Maintenance and Homeowners' Goals.
- Allow Owner's Forum for discussion of urgent issues.
- Managing Agent will be ready and willing to make adjustments/recommendations to keep Association objectives on-course.
- Managing Agent will create a direct line of communication with Board and actively inform members regarding all facets of the Homeowners Association.
- Finally, Managing Agent will assist Association with "firm" direction and control to maintain the common areas and assure that the community will remain beautiful and a desirable place to live.
